Terms & Conditions

These Terms and Conditions (“Terms”) govern your use of the website TheFirstChapter.world (the “Website”) and your engagement of travel curation, trip planning, hotel booking and related concierge services (the “Services”) provided by The First Chapter, operating under White Travels (“The First Chapter”, “we”, “us” or “our”), with offices at New Delhi and Mumbai, India (GSTIN: 07EJAPG4607J1ZC).

By submitting an enquiry, confirming a booking, making a payment, or otherwise using our Website or Services, you (“you”, “your”, the “Client”) agree to be bound by these Terms. If you do not agree to these Terms, please do not use our Website or Services.

1. Who We Are and What We Do

The First Chapter is a luxury travel curation company. We design and arrange bespoke travel experiences, including but not limited to:

  • milestone celebrations such as honeymoons, anniversaries, birthdays, family holidays, girls’ getaways and wellness retreats;
  • hotel, resort and villa bookings;
  • itinerary design, private experiences, transfers and on-ground concierge arrangements;
  • any other bespoke travel-related service agreed with you in writing (including over email or WhatsApp) at the time of booking.

We tailor each itinerary individually; the specific inclusions, hotels, experiences and pricing for your trip are as set out in your personalised proposal or booking confirmation, which forms part of your agreement with us together with these Terms.

2. Our Role as a Travel Curator and Booking Agent

Except where we expressly say we are the direct service provider, The First Chapter acts as an intermediary and booking agent, arranging services on your behalf with independent third-party suppliers — including hotels, resorts, villas, airlines, car and transfer operators, activity and experience providers, and other vendors (“Suppliers”).

Your contract for each underlying travel service (a hotel stay, a flight, an activity, etc.) is with the relevant Supplier, and that Supplier’s own booking conditions, cancellation policy and terms of service apply to that service in addition to these Terms. We will make reasonable efforts to communicate any Supplier-specific conditions that are materially different from what is described in Section 7, but you remain responsible for reviewing them when provided.

3. Enquiries, Proposals and Booking Confirmation

An enquiry submitted through our Website, WhatsApp, email or phone is not a booking and does not guarantee availability or pricing.

Following an enquiry, we will share a proposed itinerary and indicative pricing. Prices quoted are valid only for the period stated in the proposal (or, if none is stated, for 5 business days) and remain subject to change until a booking is confirmed, owing to Supplier availability, currency fluctuation, seasonal pricing and rate changes outside our control.

A booking is confirmed only once (a) you have communicated your written acceptance of the final itinerary and price (email or WhatsApp is sufficient), and (b) we have received 100% payment of the total package cost as described in Section 5. Until both conditions are met, no booking exists and no Supplier inventory (rooms, flights, experiences) is guaranteed to be held for you.

4. Accuracy of Information

You are responsible for providing complete and accurate information at the time of booking, including full names as they appear on passports, travel dates, number and ages of travellers, and any special requirements (dietary, mobility, medical or otherwise). We are not liable for any loss, additional cost, denied boarding/check-in, or failure to accommodate a special request that results from inaccurate or incomplete information you provide.

5. Pricing and Payment Terms

5.1 Full Advance Payment

Bookings are confirmed only on receipt of 100% advance payment of the total package cost. We do not offer part-payment, deposit-only, or pay-later booking options: no Supplier inventory (rooms, flights, experiences) is held or confirmed on your behalf until full payment has been received.

5.2 Accepted Payment Methods and Currency

Payments may be made by the methods communicated to you at the time of booking (such as bank transfer or payment link). Prices are quoted, and payment is accepted, in INR for clients based in India and in USD for international clients, unless otherwise agreed in writing. Bank charges, currency conversion charges and payment gateway fees, if any, are payable by you in addition to the quoted price.

5.3 Failure to Pay

A booking is provisional and unconfirmed until full payment is received. If full payment is not received within the timeframe communicated to you at the time of booking, we reserve the right to release the itinerary and treat the booking as not confirmed, without liability to you.

5.4 Taxes and Government Charges

All applicable taxes (including GST), visa fees, airport taxes and other government-imposed charges are additional to the package price unless expressly stated as included.

6. Price Changes

Once a booking is confirmed and fully paid, the price will not change except where a Supplier imposes a surcharge for reasons outside our control (such as fuel surcharges, currency fluctuation beyond 5%, or government-imposed tax changes), in which case we will inform you before passing on any such increase.

7. Cancellation and Refund Policy

Because we require 100% payment in advance (Section 5.1) and commit that payment to our Suppliers on your behalf, often on a non-refundable basis, at the time your booking is confirmed, refunds on cancellation are limited as set out below.

7.1 Cancellation by You

If you cancel a confirmed booking, you will be entitled to a refund of the amount paid, less the following cancellation charges, calculated on the total package cost and effective from the date we receive your written cancellation request:

  • More than 60 days before the travel start date: cancellation charge of 30% of total cost (70% refunded);
  • 30–60 days before the travel start date: cancellation charge of 50% of total cost (50% refunded);
  • 15–29 days before the travel start date: cancellation charge of 75% of total cost (25% refunded);
  • Less than 15 days before the travel start date, or in case of no-show: cancellation charge of 100% of total cost, with no refund.

Where a Supplier’s own cancellation policy is stricter than the above (for example, a non-refundable rate, or a flight ticket that is non-refundable from the moment of issue), the stricter Supplier policy applies to that component of your trip, and any amount already paid to that Supplier that is non-refundable will be deducted in addition to our own cancellation charges above.

7.2 Cancellation or Amendment by Us

We reserve the right to cancel or amend a booking prior to confirmation if a Supplier withdraws availability or pricing changes materially, in which case we will offer you a comparable alternative or a full refund of any amount paid for the affected component.

After a booking is confirmed, we will only cancel or materially amend it due to Force Majeure (Section 12) or circumstances beyond our reasonable control, in which case Section 12 applies.

7.3 Refund Processing

Any refund due under this Section will be processed to your original mode of payment within 14–21 business days of the refund being agreed, less any non-refundable Supplier costs, bank charges and payment gateway fees already incurred.

8. Amendments and Rescheduling

8.1 Date Change

A request to change only the confirmed travel dates of a booking, with no change to the destination, hotels/properties or itinerary, is treated as a date change, subject to Supplier availability. A date change fee of 5% of the total package cost applies per request, in addition to any change fees, fare differences or rate differences charged by the relevant Supplier. Date change requests made less than 30 days before travel may not be possible and may instead be treated as a cancellation under Section 7.

8.2 Changes to Destination, Hotels or Itinerary

A request to change the destination, hotels/properties, itinerary, or number of travellers on a confirmed booking is a more substantial change than a date change, since it typically requires cancelling existing Supplier arrangements and making fresh ones. Such a request will be treated as a cancellation of the original booking (Section 7 cancellation charges apply) followed by a new booking for the revised itinerary at the price and payment terms applicable at that time.

9. Travel Documents, Visas, Health and Entry Requirements

You are solely responsible for ensuring that you and all travellers in your party hold a valid passport (with the minimum validity required by your destination), any required visas, and any health documentation, vaccination or testing certificates required for travel. We can advise on general requirements as a courtesy, but we do not guarantee the accuracy of this information and are not liable for any denied boarding, denied entry, quarantine, fines or additional costs arising from your failure to meet entry, visa or health requirements. Requirements can change after booking and it is your responsibility to check the latest requirements before departure.

10. Travel Insurance

We strongly recommend that you purchase comprehensive travel insurance covering, at minimum, trip cancellation, medical emergencies, medical evacuation, baggage loss and personal liability, incepting from the date of booking. Unless expressly included in your package, travel insurance is not arranged by us, and we are not liable for any loss that adequate travel insurance would have covered.

11. Milestone Celebrations and Special Requests

Where your booking includes a celebration element (such as a honeymoon set-up, birthday surprise, anniversary arrangement or similar), we will use reasonable efforts to arrange the requested details (decor, cakes, room upgrades, private experiences, etc.) through the relevant Supplier. These arrangements are provided by the Supplier and are subject to their availability, capacity and operational constraints on the day; while we curate and request these on your behalf, we cannot guarantee that every specific detail requested will be delivered exactly as pictured or described, and we are not liable where a Supplier is unable to fulfil a specific request despite our reasonable efforts to arrange it.

12. Force Majeure

Neither party is liable for any failure or delay in performance caused by circumstances beyond its reasonable control, including but not limited to natural disasters, extreme weather, pandemic or epidemic, government action, travel advisories or restrictions, war, terrorism, civil unrest, strikes, or Supplier insolvency (“Force Majeure”). If a Force Majeure event prevents your travel, we will work with our Suppliers in good faith to secure the best available outcome for you — such as rescheduling, a credit note, or a partial refund to the extent we are able to recover funds from the affected Suppliers — but we do not guarantee a full refund where our Suppliers themselves do not refund us.

13. Limitation of Liability

To the maximum extent permitted by law:

  • We are not liable for any act, omission, default, negligence, injury, loss, delay or damage caused by any Supplier or other third party who is not directly employed or controlled by us, including but not limited to airlines, hotels, resorts, villas, transport operators and activity providers;
  • We are not liable for indirect, incidental or consequential loss, including loss of enjoyment, loss of time, or emotional distress arising from a Supplier’s failure to deliver a service as expected;
  • Our total aggregate liability to you for any claim arising out of or in connection with the Services, however arising, is limited to the total amount actually paid by you to us for the specific booking giving rise to the claim;
  • Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by our own proven negligence, or liability for fraud.

14. Client Conduct

You agree to comply with the rules, policies and reasonable instructions of each Supplier (including hotel house rules, check-in/check-out times, and activity safety instructions). We and our Suppliers reserve the right to refuse service or terminate a stay/activity, without refund, in cases of illegal conduct, damage to property, or conduct that endangers others.

15. Complaints

If you experience an issue during your trip, please notify us and the relevant Supplier as soon as possible so we can attempt to resolve it in real time. Post-trip complaints should be submitted in writing to thefirstchapterconcierge@gmail.com within 14 days of the end of your trip. We will acknowledge complaints within 5 business days and aim to resolve them within 30 days.

16. Intellectual Property

All content on this Website — including text, images, itineraries, logos and design — is owned by or licensed to The First Chapter and may not be copied, reproduced or used for commercial purposes without our prior written consent.

17. Privacy

Our collection and use of your personal information is described in our Privacy Policy, which forms part of these Terms.

18. Governing Law and Jurisdiction

These Terms are governed by the laws of India. Subject to Section 15 (Complaints), any dispute arising out of or in connection with these Terms or the Services shall be subject to the jurisdiction of the courts at New Delhi or Mumbai, India.

19. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.

20. Entire Agreement

These Terms, together with your booking confirmation/proposal and our Privacy Policy, constitute the entire agreement between you and The First Chapter regarding the Services, and supersede any prior discussions, unless expressly varied in writing signed by both parties.

21. Changes to These Terms

We may update these Terms from time to time to reflect changes in our services or applicable law. The version in force at the time you confirm a booking will apply to that booking. Material changes will be reflected by an updated “Last Updated” date at the top of this page.
